The University of Washington Clinical Risk Management Office is looking for a Program Operations Specialist – UW Medicine Clinical Risk Management.
The Program Operations Specialist performs management of departmental financial processes as they relate to patient events and grievances, analysis and assignment of all incoming requests for risk management support; regular production and analysis of documents responsive to public records requests and/or discovery; development and execution of procedures relating to financial, case management, and quality/risk management committee functions; coordination and planning of committee meetings including clinical risk management and quality committees with creation, analysis, and management of reports. Coordination of risk management education activities including creation and administration of surveys to measure success and analysis of survey results.
This position is responsible for the above activities as they apply to the University of Washington Medical Center (Montlake and Northwest campuses), UW Neighborhood Clinics, the School of Dentistry, the School of Medicine, and Hall Health Primary Care Center. On occasion, position may perform duties listed above related to Children's University Medical Group, and UW Physicians. This position may also be required to provide backup for comparable departmental positions assigned to other UW Medicine components.
The Program Operations Specialist is required to understand and respond to the varying needs of UW Medicine Clinical Risk Management program as they apply to various entities. This position constantly encounters, analyzes, and utilizes extremely confidential information in relation to patient events, complaints, and grievances. This position will be required to independently manage financial functions that are both extremely time-sensitive and high-value. It is also responsible for working with other risk management staff to provide responses to public records requests and discovery requests that may require significant analysis to determine responsiveness. The position is required to maintain a working knowledge of the duties performed by many departments as well as the variances within departmental teams to appropriately triage and assign requests for risk management assistance.
Impact to the university is great. Exposure to and use of extremely confidential information related to patient events is constant. Financial adjustment responsibility and public record responsibility require independent analysis that may present significant risk to the university if performed incorrectly and require adherence to strict documentation standards for reporting purposes. Proper analysis of requests for risk management assistance as well as coordination, analysis, and planning of department schedules is central to the department's ability to support the Patients Are First initiative as well as the department's customer service expectations. DUTIES AND RESPONSIBILITIES •Analyze and assign or act on requests for UWM Clinical Risk Management assistance, involvement, and participation. Requests may come from patients and their families, clinicians and staff, UW Medicine administration, or UW/UW Medicine support staff such as UWM Compliance or quality improvement and patient safety groups. This requires the ability to independently prioritize existing commitments and departmental workflow structures. Also includes development and execution of related policies and procedures. •Analyze, perform, and track account adjustments and reimbursements for patient events and grievances to ensure accuracy and appropriateness. This includes collaboration with risk manager teams and the CRM Manager for final reconciliation of financial processes. Also includes development and execution of related policies and procedures. •Coordination and planning of committee meetings including clinical risk management and quality committees. This includes analysis, management, and creation of various reports related to quality improvement activities. This also requires creation and analysis of content of minutes and maintenance of committee records. •Maintain regular documentation of risk management education programs and create/administer surveys to measure effectiveness of programs. Includes analysis of survey results with reports to staff administering educational programs. •Independently search for and provide responses to public records and/or discovery requests. This requires analysis of records to determine responsiveness. •Other duties as assigned by the CRM Manager and Director. Examples of such are participation in inventory management and compliance activities, equipment inventory activities, surplus management, safety regulation compliance, record retention and disposition, and training various levels of staff regarding each of these areas. Engaging in and contributing to discussions about equity, diversity, and inclusion (EDI).
MINIMUM QUALIFICATIONS •Bachelor’s Degree and at least two years of related experience.
Additional requirements: •Excellent administrative skills with a high degree of accuracy and attention to detail. •Effective and professional oral and written communication skills. Must be able to communicate courteously, professionally, and clearly with all levels of UW management and staff, vendors, and UW Medicine customers. •Experience-based knowledge of customer service techniques. •Ability to exercise independent judgment, decision-making, and problem-solving skills. •Ability to multi-task, prioritize work and manage a heavy workload with frequent interruptions. •Thorough knowledge of and extensive experience with administrative software systems, including Microsoft Office Suite (Word, Excel, PowerPoint, Access, and Visio). •Strong data mining skills. •Demonstrated analytical and problem-solving skills. •Proven ability to work effectively in a team environment.
Equivalent education and/or experience may substitute for minimum requirements.
DESIRED QUALIFICATIONS •Experience using risk management software and related reporting software. •Experience using RiskMaster software and SAP Business Objects software. •Knowledge of UW and UW Medicine administrative systems. •Experience working on issues related to equity, diversity, and inclusion. •Experience in a clinical quality improvement or risk management setting, preferably within a hospital or healthcare setting, or equivalent education/experience.
WORK ENVIRONMENT •Work is currently performed in a hybrid setting split between remote work and the office. Hybrid work arrangements are dictated by business needs. Occasional travel between locations for meeting and trainings will be necessary and employees may use UW resources, such as the Health Sciences Shuttle, to accomplish this.
