Job Summary:
This role administers day-to-day operational functions for Risk, Compliance, and Internal Audit: providing support for business operations and coordinating the priorization of initiatives across groups. The incumbent will coordinate with members of the Vice President for Operations’ office and the Office of the EVP, as well as develop and maintain excellent working relationships with central administrative units across campus including Human Resources, Budget and Planning, Facilities, IT, and Office of the Provost. Demonstrating a high level of attention to detail, the role will also be responsible for coordination of committee meetings and associated materials presented to university leadership.
Please note: Flexible work arrangements, including a hybrid schedule, will be available to this role, though several days of onsite work per week will be required.
Specific Responsibilities:
Budget & Financial:
- Directly responsible for payroll, purchasing, travel and entertainment (T&E) transactions, expense reports and requesting new chart strings using NU protocol.
- Ensures prompt payment of invoices, researching errors/delayed transactions.
- Level I NU Financials approver.
- Reviews & reconciles actual expenses to budget per NU Audit guidelines.
- Prepares budget/actuals journal entries for corrections andreallocation as necessary & appropriate.
Communications & Outreach:
- Produces, edits, &/or distributes departmental communications with a high attention to detail.
- Maintains department listservs/mailing lists.
- Manages website, assuring updates are made in a timely manner.
- Plans numerous special events and committee meetings throughout the year, assuring all logistics are complete.
Facilities & Safety:
- Monitors area facilities conditions & directs requests to Facilities using Facilities Connect.
- Brings requests for building and space improvements to attention of management.
- If/when required, coordinates changes to space, furniture, data and phone lines.
- Completes annual Facilities space validation survey for department.
- Participates in communication of area safety plan.
- Leads department green office (sustainability) initiatives.
Human Resources:
- Ensures human resources programs, policies, and procedures are implemented and consistently applied.
- Coordinates portions of the talent management lifecycle including onboarding and performance excellence processes following university guidelines.
- Maintains excellent working relationship with Office of Human Resources.
IT Services:
- Acts as liaison to IT desktop support to ensure technology systems are properly installed & maintained. Issues work order requests for maintenance, repairs and upgrades.
- Appropriates necessary hardware, software and network infrastructure services from central or internal IT,
- Maintains census records of equipment for department
Supervisory:
- Provides work direction and may supervise one staff member or student interns
- Executive Support
- Provides executive support to the AVP, Risk, Audit, and Compliance, including calendar management, meeting coordination, and preparation of meeting materials
Miscellaneous
- Performs other duties as assigned.
Minimum Qualifications:
- Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree in a major such as business, accounting or related; OR appropriate combination of education and experience.
- 2 years' administrative experience including budgets, finance, facilities, &/or human resources; or other relevant experience.
Minimum Competencies: (Skills, knowledge, and abilities.)
- Strong communication and organization skills
- Ability to work with a diverse set of stakeholders and provide excellent customer service.
- Strong project management skills
- Demonstrated ability to prioritize tasks and projects with guidance from supervisor
- Expertise with MS Office including Outlook, Word, Powerpoint, Excel, and Visio
Preferred Qualifications:
- Experience in risk management, compliance, or audit departments in a University-setting.
- Experience with copyediting or website design
- Project Management experience is a plus: with a focus on schedule, task, and budget management
- Notary public, or willingness to become a Notary public
Preferred Competencies: (Skills, knowledge, and abilities)
- Familiarity with Northwestern systems including myHR, NUFinancials, Cognos, and/or Cascade CMS
- Experience with, or willingness to learn, electronic database systems for reporting needs
