Under general supervision of the Assistant Director, the Student Insurance Representative will perform insurance program-specific duties in the Insurance office, including, researching insurance claims; providing comprehensive insurance information to students; retrieving and responding to phone and e-mail messages; sorting and distributing mail; preparing general statistical reports relevant to insurance; performing data entry; communicating with students and parents; investigating and resolving insurance problems and escalating those requiring additional review. The Student Insurance Representative will provide comprehensive analytical, organizational, and administrative support while exercising considerable initiative, independent judgment, and strong interpersonal and organizational skills.
Serves as a primary point of contact for students (in-person, email and phone inquiries); reviews scheduled appointments with the staff and ensures calendars are updated. Manage office during business hours, including:
Answers questions about the student health insurance plan benefits and eligibility, researches and resolves problems, responds to requests in person, via telephone and email.
Handles the enrollment, waiver, and insurance exception process.
Identifies issues or questions that need escalation and escalates accordingly.
Performs benefit verifications, verifies eligibility for student health insurance plan. Resolves errors and processes all emergency insurance enrollment updates as needed.
Maintains Insurance office events calendar; schedules events, coordinates staffing, and updates, seasonal presentation content as needed.
Using the Student Information System and Electronic Health Record (HER), updates student insurance eligibility to ensure accurate insurance information. Handles confidential information including correspondence, draft and format memoranda and Excel reports
Handles all email outreach efforts during the annual open enrollment period. Participates in the new student orientation events. In collaboration with Health Communications staff, updates program outreach materials, print and web publications and distributes materials to publicize services
Maintains Columbia Health off-campus select preferred provider database to verify active practice participation with the student health insurance plan. Ensures accurate records of outside providers and the HER. Updates Columbia Health provider eligibility in the third-party insurance provider database
Manages logistics for ad-hoc and special projects, departmental committees, and work groups. Schedules meetings, take minutes, compile and distribute information, prepare schedules, track projects and maintain project records
Oversees weekly eligibility information submission to the third-party administrator. Retrieves insurance related reports and collate with data from the online systems for further review and approval
Manages Student Health Insurance Office activity statistics into appropriate database system and provide weekly summary to appropriate manager
Triage immunization compliance issues during peak season
Performs other duties as assigned. Occasional evening hours and weekends may be required
Bachelor's degree and/or its equivalent required
Minimum zero to two years of related experience required
Must be able to manage highly sensitive and confidential communications with independence, discretion, and integrity
Outstanding customer service and communication skills (written and verbal)
Ability to produce error-free work. Must be well organized and detail oriented with strong project and time management skills
Demonstrated ability to exercise sound judgement and perform well under pressure
Proficiency in Microsoft Office applications (Word, Excel, Power Point) and general familiarity with other computer systems
Demonstrated commitment to diversity and serving the needs of a diverse student population with cultural competence and sensitivity
Ability to multi-task, familiarity with higher education environment, AAAHC and HIPAA regulatory compliance, Health Insurance, and Immunization compliance.
