This is a mid-level position responsible for leading the department in developing, facilitating, and implementing effective business processes in order to create data-driven strategies in support of Housing & Dining Facilities. This work will consist of projects, studies, and thorough analysis of the interrelated issues of effectiveness, efficiency, and productivity, thus influencing the delivery of all facility services, functions, and processes. Accordingly, this position will work closely with staff to foster positive change through collaboration, partnerships, and teamwork, while realigning, and creating workflow processes that maximize efficiencies. This position will be responsible for detailed analysis of the department’s $18M budget, including defining budgetary trends, and analyzing business process and expenditures, such as repairs and contracts, in order to establish cost savings for the department. This position must adapt behavior and work methods in response to new information, changing conditions, or unexpected obstacles, such as emergency facility repair costs, which may require both long-range and immediate adjustments to budget and program processes.
This position will work extensively within the department’s Computerized Maintenance Management System (CMMS). CMMS is a complex software package that maintains a computer database capturing all maintenance operations; labor hours; records of all physical assets; and all associated costs for labor, contracts, and materials. The CMMS system also provides purchasing records and a material management database. This position will analyze, evaluate, correct, adjust, and amend the CMMS software. Accordingly, this position will assure that the CMMS is used optimally across the department to improve inventory tracking, work order management, work flow, material management, and invoicing, while developing standard operating processes that increase maintenance and service efficiencies. Additionally the position will ensure that shadow, or redundant, processes are not part of invoicing or work flow. This position will be a leader and subject matter expert in moving the department forward with implementation of the next CMMS generation, (Integrated Work Management System, IWMS) scheduled to begin in 2019, and must have the ability to work with, communicate, and train staff at levels of the department.
The position will also create and present data-driven reports reflecting labor, purchasing, project costs, financial trends, and material tracking throughout the department and with campus partners and leadership, as needed.
