Coordinate the addition and updating of all property and liability insurance coverages for KCTCS.
Act as the primary contact and liaison with KCTCS units regarding insurance coverages and renewals with insurance vendors and the Commonwealth of Kentucky's State Risk representatives.
Review and classify equipment for entry into and run PeopleSoft reports for submittal to insurance companies for quote and renewal purposes.
Research, review, analyze, and recommend additional insurance coverages based on changes to programs, training, and/or equipment needs.
Manage the addition of equipment and building lease payments within the PeopleSoft Asset Management Module.
Act as the primary contact and liaison for lease vendors and the colleges to ensure the proper application of lease payments to leases to ensure proper amortization for capital leases and research, analyze and resolve lease invoice issues. Coordinate the lease payment process with the Office of Financial Services and Procure to Payment.
Analyze lease payment reports for accuracy, approve lease payments, and resolve budget errors.
Work closely with the Office of Financial Services on lease reconciliation. Coordinate with the Office of Financial Services and all of KCTCS to set up budgets for capital leases of equipment and facilities.
Monitor the addition of inventory and assets to the PeopleSoft Asset Management Module in order to ensure insurance coverage is obtained in a timely manner.
Monitor the surplus equipment reporting process, including online equipment auctions and the removal of surplus from the PeopleSoft Asset Management module as the result of online auctions and asset audit findings. Ensure insurance coverage is adjusted to reflect these disposals.
Complete cash receipts for the deposit of proceeds from online auctions. Ensure the receipt of timely notifications of equipment purchases requiring special insurance coverage.
Act as the primary claim contact and liaison person for insurance, provide guidance to faculty and staff regarding the claims process, and submit insurance claims on their behalf to insurance company representatives. Ensure claim documents are completed in a timely manner and claims are resolved satisfactorily.
Coordinate the uploading and removal of building lease and real property records in OnBase, KCTCS's electronic archive document system.
